  • Primary Purpose of Position
    PROGRAM COMPLIANCE:
    Maintain accurate records on children enrolled in the program to include their development, attendance, immunization, and general health;
    Conduct program registration and maintain appropriate files and waiting lists.


    COMMUNICATION:
    Communicates effectively with parents, all staff, licensing, and children with a passion for providing outstanding customer service;
    Assists with enrollment inquiries, follow-up and program tours in order to increase enrollment;
    Generates and processes the enrollment packet for each new family, including contract and payroll deduction authorization;


    INFORMATION/RECORDS ADMINISTRATION:
    Assists in completing and submitting DCDEE required paperwork and record-keeping on a timely basis, and maintaining in an organized, up-to-date manner;
    Detail-oriented


    KNOWLEDGE-PROGRAM:
    Implement program and operating policies and activities as required;
    Ensure compliance with all federal and state laws, as well as App State standard operating procedures;


    OFFICE TECHNOLOGY:
    Manage student timekeeping system and related processes;
    Maintain website and social media sites for program;


    PROBLEM SOLVING:
    Work with the Director on policies or procedures to ensure the smooth operation of the program;
    Keeps Director apprised of staff concerns and situations needing attention;
    Orders and maintains inventory of childcare supplies and equipment;


    WORK COORDINATION:
    Provides feedback to Director on quality control issues and assists in resolving quality control issues;
    Accepts temporary work assignments in the event regularly scheduled personnel are not available;
    Assists in processing work orders for the Center;
    Assists with student employee scheduling, recruitment efforts, interviews, and the hiring and orientation process;
    Other duties as assigned by the Director.
    Direct the organization and follow-up of special activities such as library readers;
    Assist child care center staff in preparing for and presenting early childhood programs, activities, and accreditation;


    BUDGETING
    Generate bills for each child based on appropriate child care fee rate;
    Record all childcare fee receipts, facilitate deposit;
    Maintain financial records for each child and prepare statements for late payment;
    Assist in processing accounts payable for the Center
    Oversee completion of monthly P-card reconciliation.
    Minimum Qualifications
    Graduation from high school; or an equivalent combination of education and experience.

    Preferred Qualifications
    Preferred Education and Experience- 3 years of relevant experience in child care, administration, leadership or management; Must hold, or be able to obtain, a Level 2 NC Administration Credential or higher; Bachelor’s degree in early childhood education or a related field.

    Highest Preferred Education and Experience- Level #3 NC Administration Credential; Master’s degree in early childhood education.
    Required Functional Competencies to Successfully Perform Job Duties.
    Professional Knowledge: Knowledge of program policies, procedures, technology, best practices and their theoretical bases. Ability to apply and interpret a variety of interrelated policies, procedures and programs for clients and address clients’ non-routine issues. Knowledge of new theories, trends, laws or precedents demonstrated by recommending and implementing improvements or necessary changes to policies, procedures and/or program(s).

    Program/Project Administration: Ability to administer and/or manage a program with established guidelines and standards in its entirety or several components of a multi-faceted program. Ability to ensure program/project accountability. Ability to define scope, goals, tasks, deliverables, timelines, tools, and resources. Ability to assess the needs of the work unit or project. Ability to determine any gaps, and recommend changes in procedures, workflow and work assignments to improve efficiency and effectiveness in performance of individuals and the work unit as a whole. Ability to develop and monitor program/project databases, schedules and reports. Ability to ensure accuracy of data and compliance with program standards. Ability to perform professional program administrative duties, including technical decisions. Ability to collaborate in the development and completion of grants and contracts. Ability to administer pre- and post-award agreements. Ability to prepare reports as required.
